HUNTVERIFY POLICIES

1. ABOUT HUNTVERIFY

HuntVerify is a digital hunting membership, trophy documentation, verification and achievement platform designed to provide hunters with a structured way to document and preserve their hunting achievements.

Through HuntVerify, eligible users may register trophy records, maintain a Digital Trophy Room, submit records for verification, participate in HuntVerify Slams and Achievements, appear in eligible record listings, and access other services made available through the HuntVerify platform.

HuntVerify also provides services and features for professional hunters, outfitters and other hunting-industry participants, including the HuntVerify Trusted Outfitter programme and related services.
 

2. ACCEPTANCE OF THESE TERMS

By accessing or using the HuntVerify website or platform, creating an account, becoming a member, submitting information or trophy records, or using any HuntVerify service, you agree to be bound by these Terms & Conditions together with the policies applicable to the particular HuntVerify service you use.

If you do not agree to these Terms & Conditions, you should not use the HuntVerify platform or its services.
 

3. USER ACCOUNTS

Certain HuntVerify features require a registered user account.

Users are responsible for providing accurate information when creating and maintaining an account and for keeping their account credentials secure.

You are responsible for activity carried out through your account. You may not impersonate another person, create an account using false information, or knowingly provide misleading information to HuntVerify.

HuntVerify may restrict, suspend or terminate access to an account where there is evidence of misuse, fraudulent activity, material violation of these Terms, or conduct that threatens the integrity of the HuntVerify platform.

4. MEMBERSHIP

HuntVerify may offer free, paid, promotional, partner, influencer or other membership types from time to time.

The features and benefits available to a member may depend on the membership type held by that member. HuntVerify may introduce, modify or discontinue membership features where reasonably necessary as the platform develops.

Where a membership requires payment, the applicable price, billing period and payment terms will be displayed before purchase. Membership fees are processed through the payment methods made available by HuntVerify.

Members are responsible for ensuring that their account and payment information remains accurate and current.

Unless otherwise stated, membership is personal to the registered member and may not be transferred, sold or shared with another person.
 

5. TROPHY RECORDS AND SUBMISSIONS

Members may submit hunting achievements and trophy information to HuntVerify for documentation and, where available, verification.

The person submitting a record is responsible for ensuring that the information, photographs, measurements, documents and other supporting material supplied to HuntVerify are accurate and relate to the trophy or hunt being submitted.

Submission of a trophy does not automatically mean that the trophy has been verified, recognised for an achievement, or accepted into a HuntVerify record listing.

HuntVerify may request additional information or supporting documentation where necessary to assess a submission.

HuntVerify reserves the right to reject, return, correct, suspend or remove a record where the information supplied cannot reasonably be verified, is materially inaccurate, is misleading, or does not meet the applicable HuntVerify requirements.
 

6. TROPHY VERIFICATION

A HuntVerify verification confirms that, based on the information and supporting material available to HuntVerify at the time of review, a submission has met the applicable HuntVerify verification requirements.

Verification does not constitute a guarantee, endorsement or warranty of any hunter, professional hunter, outfitter, hunting operation, property, transaction or other person or organisation associated with a hunt.

Verification status may be reviewed if new information becomes available or if HuntVerify has reasonable grounds to believe that information used during the original verification was materially inaccurate, incomplete or misleading.

Specific verification requirements are governed by the separate Trophy Verification Policy.
 

7. CERTIFICATES AND HUNTVERIFY IDENTIFIERS

HuntVerify may issue unique Trophy IDs, Certificate IDs, Achievement Numbers or other identifiers in connection with eligible records and achievements.

These identifiers form part of the HuntVerify record system and may be used to confirm the status of an eligible public record through HuntVerify's verification services.

A HuntVerify certificate or identifier may not be altered, falsified, duplicated for a different trophy or achievement, or used in a manner that falsely represents the status of a HuntVerify record.

Public verification may display selected information associated with a record while other member, hunt or location information remains private.
 

8. SLAMS AND ACHIEVEMENTS

HuntVerify may recognise combinations of eligible verified trophy records through HuntVerify Slams, Awards and other Achievements.

Each Slam or Achievement has its own qualifying requirements. Only trophy records that meet the applicable requirements and verification status may be counted toward completion.

Progress displayed toward a Slam or Achievement does not constitute completion until all applicable requirements have been satisfied and the achievement has been formally issued by HuntVerify.

Once an eligible achievement has been issued, HuntVerify may assign a unique Achievement Number and provide a certificate or public verification record.

HuntVerify may update Slam or Achievement requirements where reasonably necessary. Changes will not be used to intentionally misrepresent an achievement already legitimately issued under the requirements applicable at the time.
 

9. TOP 10 RECORDS AND PUBLIC LISTINGS

Eligible verified trophy records may qualify for inclusion in HuntVerify Top 10 Records, species rankings, regional rankings or other public record listings made available by HuntVerify.

Placement in a ranking is determined according to the applicable record information, measuring method, category and ranking rules used by HuntVerify.

A verified trophy is not guaranteed placement in a Top 10 or other ranking.

Rankings may change as additional eligible records are verified, existing records are corrected, or information relevant to a ranking is updated.

HuntVerify may correct or remove a record from a public listing if the underlying record no longer satisfies the applicable requirements.
 

10. TRUSTED OUTFITTERS AND PROFESSIONAL HUNTERS

HuntVerify may provide directories, profiles, enquiry services and recognition programmes for outfitters, professional hunters, guides and other hunting-industry participants.

Participation in a HuntVerify programme or appearance on the HuntVerify platform does not constitute a guarantee or warranty regarding the services, conduct, licensing, availability or performance of any third party.

Trusted Outfitters must comply with the applicable Trusted Outfitter Standards and any additional requirements communicated by HuntVerify.

Hunters remain responsible for conducting their own due diligence before entering into a booking, hunt, agreement or financial transaction with an outfitter, professional hunter or other third party.
 

11. USER-SUBMITTED CONTENT

Users may submit photographs, trophy information, measurements, hunt details, supporting documents, stories and other content to HuntVerify.

You retain ownership of content that belongs to you. By submitting content to HuntVerify, you grant HuntVerify permission to store, process and display that content to the extent reasonably necessary to operate the platform and provide the service for which it was submitted.

Where you choose or authorise information to form part of a public HuntVerify record, you also permit HuntVerify to display the approved public information through its website, verification services, rankings, Trophy Rooms, Slams or related HuntVerify features.

Users must have the necessary rights or permission to submit content to HuntVerify.
 

12. INTELLECTUAL PROPERTY

The HuntVerify name, branding, logos, platform design, certificates, verification systems, original website content and other HuntVerify intellectual property remain the property of HuntVerify or their respective rights holders.

Nothing in these Terms transfers ownership of HuntVerify intellectual property to a user.

HuntVerify branding, certificates or verification marks may not be altered or used in a misleading manner or in a way that falsely implies verification, membership, partnership, approval or endorsement.

13. PAYMENTS, BILLING AND REFUNDS

Certain HuntVerify memberships, services or features may require payment.

Prices, billing periods and applicable charges will be displayed before a purchase is completed. Payments may be processed by third-party payment service providers made available through HuntVerify.

Users are responsible for providing accurate billing information and for ensuring that sufficient funds or an authorised payment method are available when payment is due.

Any applicable cancellation, renewal and refund conditions will be governed by the terms presented at the time of purchase and the applicable HuntVerify Membership Terms.

HuntVerify does not store complete payment-card details where payments are processed directly by an authorised third-party payment provider.
 

14. PRIVACY AND PERSONAL INFORMATION

HuntVerify collects and processes personal information as necessary to operate the platform, administer memberships, process submissions, communicate with users, provide verification services and maintain HuntVerify records.

The handling of personal information is further described in the HuntVerify Privacy Policy.

HuntVerify may distinguish between information that forms part of a public verified record and information that remains private or restricted.

Users should not submit sensitive personal information unless it is reasonably required for the relevant HuntVerify service.
 

15. ACCEPTABLE USE

Users may not use HuntVerify to submit fraudulent or deliberately misleading records, impersonate another person, interfere with the operation or security of the platform, attempt to gain unauthorised access to another account, misuse HuntVerify certificates or identifiers, infringe another person's rights, or use HuntVerify for unlawful purposes.

Users must also comply with the HuntVerify Code of Conduct where applicable.

HuntVerify may investigate suspected misuse and take reasonable action to protect the integrity of the platform and its records.
 

16. THIRD-PARTY SERVICES

HuntVerify may integrate with or provide access to services operated by third parties, including payment providers, website infrastructure, communication services and links to external websites.

Those services may be governed by their own terms and privacy policies.

HuntVerify is not responsible for the availability, security, content or independent actions of third-party services that are outside HuntVerify's reasonable control.
 

17. SUSPENSION AND TERMINATION

HuntVerify may restrict, suspend or terminate access to an account or particular service where a user materially breaches these Terms, abuses the platform, submits fraudulent information, misuses HuntVerify verification or intellectual property, or engages in conduct that threatens the integrity or security of HuntVerify.

Where reasonably appropriate, HuntVerify may provide the user with an opportunity to address the issue before permanent action is taken.

Termination of an account does not necessarily require HuntVerify to erase records that must reasonably be retained for legal, security, fraud-prevention, accounting or record-integrity purposes, subject to applicable law and the HuntVerify Privacy Policy.
 

18. DISCLAIMER

HuntVerify provides a documentation, membership, verification and achievement platform. HuntVerify does not organise, conduct or supervise a hunt merely because information about that hunt appears on the platform.

Verification confirms that a submission has met the applicable HuntVerify verification requirements based on the information reasonably available during the review.

HuntVerify does not guarantee the services, conduct, licensing, safety or performance of any hunter, outfitter, professional hunter, guide, property owner or other third party.

Nothing provided through HuntVerify should be interpreted as legal, financial, hunting-safety or regulatory advice.
 

19. LIMITATION OF LIABILITY

To the fullest extent permitted by applicable law, HuntVerify will not be liable for indirect, incidental, consequential or special loss arising solely from the use of, or inability to use, the HuntVerify platform.

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.

Users remain responsible for their own hunting activities, travel arrangements, bookings, transactions and decisions made in connection with third parties.
 

20. CHANGES TO HUNTVERIFY AND THESE TERMS

HuntVerify may update the platform, its services, features, policies and these Terms as the platform develops or where changes are required for operational, security, legal or regulatory reasons.

The current version of these Terms will be made available through the HuntVerify website together with the applicable last-updated date.

Where a change materially affects an existing paid membership or user right, HuntVerify will take reasonable steps to provide appropriate notice where required.
 

21. GOVERNING LAW

These Terms & Conditions are governed by the laws of the Republic of South Africa, subject to any mandatory rights or protections that may apply to a user under applicable law.

Any dispute relating to these Terms or the use of HuntVerify will be dealt with in accordance with applicable South African law and any mandatory dispute-resolution requirements.
